None of this is a limitation we are apologising for. It is the part of the job that only works if it is yours, and an arrangement that pretends otherwise fails in month two.

The role

What the week actually looks like.

Most people arriving at this page have already decided that some part of their week can be done by somebody who is not in the building. The open question is what, and the honest answer is broader than “a virtual assistant” and narrower than “anything”.

The test is whether the work produces something transmissible. A document, a record, a reply, a report, a decision made against information you can send. Administration passes that test, and so does customer contact, CRM and data work, reporting, project coordination and most of a back office. Work that needs somebody in a room does not, and neither does work your own regulator ties to a person licensed where you are — the sector pages under industries draw those lines one by one, because they are different in a law firm than they are in a clinic.

The second test is whether the process exists in writing. This is the one that actually decides whether remote hiring works, and it has nothing to do with the country. Work that lives in somebody’s head transfers badly to the next desk, let alone the next continent. That is why documenting the way you do things is a step in how we work rather than something we hope happens in month three — and it is the part of the arrangement that keeps paying after the person doing it has changed.

On the country specifically. South Africa is UTC+2 and has not observed daylight saving since 1944, so once your working hours are agreed the offset never moves again. An ordinary South African day covers most of a London one and an afternoon start covers a New York morning. And on where it is not the right answer. If your customers are entirely on the US West Coast, covering their day from Cape Town means working through the night, and we do not staff night shifts. If what you need is a genuine twenty-four-hour operation, or fifty people inside a quarter, that is a different kind of arrangement from the one we run. Either way, we would say so on the call rather than take the work and hope.

Before you hire

Four things worth checking, wherever you hire.

These apply to any provider, including this one. A page that is only useful if you buy from us is not a guide.

  1. Settle the employment vehicle before you settle the rate.

    Contractor, employer of record, agency placement and direct employment are four different arrangements with four different tax, payroll and liability answers. Ask any provider which one they are offering, in writing, and check that it matches what your accountant expects.

  2. Ask who owns the work product.

    Intellectual property across borders is settled in the agreement or it is settled badly later. It is a short clause and a short question, and the time to ask it is before somebody starts writing your documentation, not after.

  3. Test the connection before you test the person.

    Remote work in South Africa is normal and the infrastructure is good, but it is not uniform. Ask about connectivity and about backup power specifically — it is a fair question, everyone who works remotely there has an answer, and a provider who is cagey about it is telling you something.

  4. Write the working hours down in local time at both ends.

    "We work your hours" means nothing until it is two rows in a document. South Africa is UTC+2 all year, so the arithmetic is stable once it is agreed — but agree it, and agree what happens when your own clocks change and ours do not.

Before you enquire.

  • Which roles actually work well remotely from South Africa?

    Anything whose output is a document, a record, a message or a decision made against information — administration, executive support, customer contact, CRM and data work, operations coordination, reporting and back-office queues. Anything that needs somebody physically present obviously does not, and neither does work your own regulator ties to a person licensed in your jurisdiction. Those are the two real limits and everything else is a question of how well the process is written down.

  • Am I employing the person, or is Nira?

    That is settled in the service agreement rather than assumed from a web page, and it is the first thing to establish because the tax, payroll and liability answers all follow from it. Ask it explicitly on the discovery call — of us and of anyone else you are speaking to. A provider who answers it vaguely has given you the most useful information you will get that day.

  • Do I need to worry about payroll, tax or visas?

    Not visas — nobody is relocating, which removes the most expensive and slowest part of international hiring entirely. Payroll and tax depend on the engagement structure above, and they are a question for your accountant with that structure in front of them. What we will not do is offer an opinion on your tax position, because that is advice we are not qualified to give.

  • How is this different from hiring in the Philippines or Latin America?

    Mostly the shape of the working day and, on the published proficiency measures, English. South Africa is UTC+2 with a fixed offset, so one ordinary working day reaches a London morning and a New York afternoon without anybody sitting up through the night.   • What size of business does this suit?

    Most engagements start with one person at fifteen or thirty hours a week, which suits a founder or a small team. It scales by adding roles rather than by adding headcount to one, and the useful test is whether the work you want covered is continuous — continuous work justifies a role, and occasional work usually does not.
